1. Scope of this policy

This policy applies to:

  • the website at cloudcodero.com, including the F9Ops AI pages and the "register interest" form;
  • sales enquiries, quotes, orders and invoices;
  • customer accounts, contracts and licences for F9Ops AI;
  • the F9Ops AI licence activation and validation service; and
  • customer support.

In this policy:

  • "Cloud Codero", "we", "us" means Cloud Codero Ltd, the controller of the personal data described here.
  • "Visitor" means anyone who uses our website.
  • "Customer" means a business that buys or evaluates F9Ops AI from us, and the people who act for it.
  • "F9Ops AI" means the desktop software licensed to Cloud Codero by its product owner, which we sell, license and support.

This policy does not cover the data you work with inside F9Ops AI (see section 6), or any AI provider you choose to connect to F9Ops AI, which has its own terms.

2. Website: information we collect

Information you give us

  • When you register interest: your name, work email address, company, job role, country, number of users, the products you are interested in, your message, and your consent to be contacted.
  • The form sends these details by email to our sales inbox. They are not stored on the website.
  • Anything else you choose to include in emails or calls with us.

Information collected automatically

  • To deliver the site and protect it from attacks, our hosting and security provider, Cloudflare, handles technical data: IP address, browser type, device type, pages requested and the time of each request.

Information from third parties

  • None. We do not use analytics, advertising or social media tools on our website.

3. Cookies

We do not set analytics, advertising or tracking cookies, and the site does not store anything in your browser. There is no cookie consent banner because we are not using non-essential cookies. This site does not store a theme preference or other marketing identifiers in localStorage.

The interest form submits the details you enter to Cloud Codero so we can respond, as described in this policy. Those submissions are not written as cookies.

Cloudflare may set strictly necessary security cookies to protect the site from bots and attacks. These do not track you across sites and do not need your consent. If we add any other cookies in future, we will update this policy and, where required, provide appropriate controls and ask for your consent before non-essential cookies are used.

4. Third-party links

Our website may link to other websites, such as Oracle documentation. We are not responsible for how those sites handle personal data. Please read their own privacy policies.

5. F9Ops AI customers and users: information we collect

Customer records

  • Business contact details of the people who buy, administer or use the licences: name, work email, phone number and job role.
  • Company details, contract and order references, licence numbers and seat counts, start and end dates, and renewals.
  • Invoices and payment records. We do not store full card or bank account numbers.
  • Our correspondence with you.

Licence activation and checks

  • The licence key.
  • A random installation identifier, created when F9Ops AI is installed. It is not taken from your hardware and contains no personal information.
  • The operating system (macOS or Windows), processor type and F9Ops AI version, sent when a licence is activated.
  • The IP address the request comes from when a licence is activated or a check is refused, the date and time of activation, and the date and time of the most recent successful check.
  • Licence status (for example active, expired, revoked or replaced).

F9Ops AI checks its licence when it starts, when the network comes back, when your computer wakes from sleep, and about once an hour while it is open. A routine check sends only the licence token and the installation identifier.

Support

  • The details you send us, such as descriptions, screenshots and, if you choose to share them, log files or crash reports. Please remove personal data and Oracle data from anything you send.

6. What F9Ops AI does not send us

F9Ops AI runs on your own computer. We do not receive or store:

  • your Oracle Fusion, Oracle Integration Cloud, BI Publisher or database content, queries or results;
  • your connection details, passwords or database credentials, which stay on your computer in its secure system store;
  • the prompts or content you send to an AI provider. F9Ops AI does not supply an AI model. If you connect one, your content goes directly from your computer to the provider you chose, under your own agreement with that provider. It does not pass through Cloud Codero.

We do not use customer content to train AI models.

7. How we use information, and our lawful basis

Purpose Lawful basis (UK GDPR)
Running and protecting the website Legitimate interests: keeping the site available and secure
Answering enquiries and preparing quotes Legitimate interests: responding to business enquiries; or steps you asked us to take before a contract
Selling, licensing and invoicing F9Ops AI Performance of a contract
Activating and validating licences, preventing misuse of licence keys Performance of a contract; legitimate interests: protecting the software from unlicensed use
Providing support Performance of a contract
Keeping accounting and tax records Legal obligation
Sending product news to business contacts Legitimate interests, or your consent where the law requires it. Every message lets you unsubscribe
Handling legal claims Legitimate interests: establishing, exercising or defending legal claims

Where we rely on legitimate interests, we have balanced them against your rights. You can ask us for details.

8. How we share information

We share personal data only as needed for the purposes above:

  • Hosting and infrastructure: Oracle Cloud Infrastructure (licence service and customer administration system) and Cloudflare (website hosting and network security).
  • Email and business systems: Resend (sending website form emails), our email provider, and Zoho (accounting and invoicing).
  • Professional advisers: lawyers, accountants and auditors, under confidentiality.
  • Authorities: where the law requires it.

These providers act on our instructions and must protect your data.

The product owner. In normal operation we do not share customers' personal data with the owner of F9Ops AI. If Cloud Codero stops reselling or supporting F9Ops AI, your customer relationship, contract and related data may be transferred to the product owner or a business it appoints, so that your licences and support can continue. That business would then become the controller of your data, and we or it will tell you.

Business changes. If Cloud Codero is sold or merges with another business, personal data may be transferred to the new owner under the same protections.

We do not sell personal data.

9. International transfers

Our licence service and customer administration system are hosted by Oracle Cloud Infrastructure in its London region, in the UK. Some of our other providers process data outside the UK: Cloudflare operates a global network, and our email and business system providers may also use servers abroad.

Where personal data leaves the UK, we use the safeguards UK law requires: a UK adequacy decision, or the UK International Data Transfer Agreement or Addendum with the provider. You can ask us for a copy of the relevant safeguards.

10. How long we keep information

Information How long
Enquiries that do not lead to a purchase 24 months from our last contact
Customer, contract and licence records For the life of the contract, then 6 years for legal and tax purposes
Licence activation records and refused-check records (including IP addresses) For the life of the contract, then deleted 12 months after the contract ends
Support requests 3 years after the request is closed
Website technical logs held by Cloudflare Under Cloudflare's own retention periods, normally a few days
Backups Overwritten on a rolling basis, within 35 days

11. Security

We use encryption in transit (HTTPS) for the website and the licence service, encryption of licence keys at rest, access controls with multi-factor authentication for our administration system, and restricted network access to that system. No system is completely secure, but we review these measures regularly.

12. Automated decisions

The licence service automatically checks whether a licence key is valid and assigned to an installation. This is a decision about the licence, not a decision that has legal or similarly significant effects on you as a person. If you think a licence has been refused in error, contact us and a person will review it.

13. Your rights

Under UK data protection law, including the UK GDPR and the Data Protection Act 2018, you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased, in some circumstances;
  • restrict or object to our use of your data, including for direct marketing at any time;
  • receive your data in a portable format, where we process it under a contract or your consent;
  • withdraw consent where we rely on it.

To use any of these rights, email us using the contact details in section 16. We will reply within one month. We may need to confirm your identity first.

If you are unhappy with how we use your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk, telephone 0303 123 1113.

14. Children

Our website and F9Ops AI are for businesses and are not intended for anyone under 18.

15. Changes to this policy

We may update this policy. The date at the top shows when it last changed. If we make significant changes, we will tell customers directly.
